Automate order processing, line by line.
Customers email an order, send a PDF or fax an order form. Vink puts the customer and every order line in your system, so nobody has to copy them over.
200 free credits. No credit card.
Every Form gets its own email address for incoming orders.
How do you process orders customers send by email or PDF?
You let them arrive at a Form's email address, and Vink turns them into order lines.
Many orders don't come through a web shop. A regular customer emails a short list, another sends their own purchase order as a PDF, and a third still faxes. Someone in the office types those lines into the system by hand today. With Vink you hand them in as they arrive, and Vink finds the product and quantity on each line.
Which data does Vink take from an order?
The customer, the delivery details and every order line as a separate row.

How to set up order processing in Vink
In four steps, and the first orders run the same day.
- 1
Describe your order
Make a Form with the customer fields and a list Order lines with product and quantity. Add item number and price when you need them.
- 2
Redirect the orders
Forward your orders mailbox to the Form's email address. Vink reads the attachments and the text of the email itself.
- 3
Check the lines
Vink shows what it read on each line and on which page. When there are two phone numbers or a vague quantity, it flags that value.
- 4
Send the order on
After approval the order goes to your order system, your planning or a sheet. Every order line stays a line of its own.
An order in your mailbox is soon in your system, without anyone copying it over.
What does copying orders over cost you now?
Fill in how many orders arrive each day and how many minutes one order takes.
Hours of retyping per month
42 hours
- By hand
- €1,470/mo
- With Vink (Business)
- €249/mo
Based on 21 working days a month and 1 page (10 credits) per document. Your team still spends some time on the values Vink flags.
How does the order reach your order system?
Through a webhook to your system, through your workflow tool, or as rows in a spreadsheet.
For each approved order your system receives the customer and every line in one message. In a spreadsheet each order line becomes a row of its own. Has your order system no endpoint? Then the integration service helps, from €799.
Questions about order processing
Yes. Vink reads the email itself and its attachments. When a customer simply writes the order in the email, those still become order lines.
Vink copies the product name as the customer writes it. When the order shows an item number, Vink reads that too, if you make a field for it. Matching it to your own items is up to your order system.
As many as it shows, up to 20 pages per PDF. Every line becomes a separate row in your list, with the page where Vink read it.
You see every line next to the order. You add a line, remove one or change a quantity. Only after your approval does the order move on.
Every page, email or photo costs 10 credits. An order in the text of one email therefore costs 10 credits. You start with 200 free credits, no credit card.
Yes. Every plan has unlimited users. Each order shows who approved it and when.
Yes. Web shop orders already arrive digitally. Vink handles the rest: orders by email, PDF or fax. Through an integration they reach the same system as your web shop orders.
