Digitise delivery notes, pen marks and all.
Every delivery comes with a delivery note, often with a signature or a changed quantity. Vink reads the note and puts items, quantities and remarks in your system.
200 free credits. No credit card.
Email delivery notes to your Form's own email address.
How do you get delivery notes into your system without typing them over?
You scan or photograph the delivery note on arrival, and Vink reads the items and quantities.
A delivery note is the proof of what was really delivered. Whoever changes something on arrival does it in pen: a crossed out quantity, a remark or initials. Software that only reads printed text misses exactly those changes. Vink reads the pen too, and flags what it isn't sure about.
Which data does Vink take from a delivery note?
The note's header and every line, including what was added by hand.

How to digitise delivery notes with Vink
In four steps, from arrival to your stock.
- 1
Make the Form Delivery notes
Describe the header, a list with item and quantity, and a field for remarks.
- 2
Scan on arrival
Photograph or scan the signed delivery note and email it to the Form's email address.
- 3
Check the changes
Each quantity shows what Vink read. When something was changed in pen and Vink is in doubt, that value is flagged.
- 4
Book the delivery
After approval the lines go to your stock system, your ERP or a sheet, so purchasing sees what came in.
What was really delivered is in your system. Including what was changed in pen.
What does retyping delivery notes cost you now?
Fill in how many delivery notes arrive each day and how many minutes one note takes.
Hours of retyping per month
42 hours
- By hand
- €1,470/mo
- With Vink (Business)
- €249/mo
Based on 21 working days a month and 1 page (10 credits) per document. Your team still spends some time on the values Vink flags.
How does delivery note data reach your stock system?
Through a webhook, or through a workflow in your workflow tool.
Every approved delivery note becomes one message, with all lines as a list. Your system can then put the delivery next to the order. Has your stock system no endpoint? Then the integration service builds the connection.
Questions about delivery notes
Vink reads both documents, each with its own Form. The matching itself is done by your ERP or a workflow in your workflow tool, with the order number as the key.
Vink reads what is visible. Vague values get a low score and a flag, so someone checks them. Scan or photograph the note on the day it arrives, if you can.
As many as it shows, across up to 20 pages per PDF. Every line becomes a row of its own in the list.
Yes. Whoever takes the delivery emails a photo to the Form's email address or uses the upload link. Someone in the office approves the data.
A page or photo costs 10 credits, so a one page delivery note does too. Plans start at €49 a month, after 200 free credits.
Yes. Each supplier may use its own layout. Vink finds your fields on every delivery note, without settings per supplier.
30 days after sending by default, and an Admin can change that. To keep the original longer, save the file in your own archive through the link in the message.
