How do you start automating your administration?
With the document flow that costs your team the most time, and only then the next one.
According to an analysis by De Nederlandsche Bank, working people in the Netherlands spend about a fifth of their time on tasks they don't see as their core work, with administration as a large part. In the back office much of that time goes into retyping, from PDF or paper into a system. That work splits well into flows, each with one kind of document.
Which back office tasks does Vink take over?
Any task where someone puts data from a document into a system.

- Orders
- Customer and order lines to the order system.
- Delivery notes
- Delivered items and quantities to stock control.
- Work orders
- Hours and materials to invoicing.
- Sign up forms
- Name, address and choices to your customer records.
- Damage claims
- Date, cause and amount to the claims handler.
- Expense receipts
- Shop, date and VAT to the administration.
- Complaints by email
- Customer, product and problem to your ticket system.
How to automate the back office step by step
One flow at a time, and every flow follows the same five steps.
- 1
Map your document flows
Write down for each kind of document how many arrive each week and where the data has to go.
- 2
Pick the first flow
Take the flow with the most typing. The checklist for your first process helps you choose.
- 3
Set up a Form
One Form per flow, with its own fields and its own email address.
- 4
Let your team check
Colleagues approve what Vink fills in and only correct what is flagged.
- 5
Add the next flow
Once the first flow runs, repeat steps 3 and 4 for the next document.
Your back office stays in control. Vink does the typing.
How does everything reach the right systems?
Each Form gets its own Integrations, so each flow goes to its own system.
Invoices to accounting, orders to the order system, work orders to invoicing. You set it per Form, with a spreadsheet, your workflow tool or the webhook. Or you have it built.
Questions about the back office
As many as you like. Every plan includes all Forms and fields, and unlimited users.
Yes, on your organisation's email address. Vink then picks the fitting Form for each document. For a fixed route, give each Form its own address.
An Admin makes Forms and Integrations. Colleagues with the Member role upload, check and approve. An Editor changes the fields of existing Forms.
Then Vink sets it aside, so nobody approves it by mistake. A colleague picks the right Form, or leaves it.
You pay in credits, 10 per page. Extra usage is off by default. An Admin can turn it on, with a monthly maximum.
Yes, with Auto-Send, which you turn on per Form. Documents Vink is sure about then go straight through. When Vink is in doubt, the document stays for your team.
Files and data are stored in the EU. Vink deletes them 30 days after sending by default. The list of subprocessors is in the terms.
